Filter Fields

There are (5) Five different filter fields depending on the report you are running.

Click on the report you are running for the correct filter fields.

 

  1. Client Information
  2. Needs Assessment and Referral Services, Information and Orientation and Community Connections.
  3. Employment
  4. Language training – Client information, Course Set-up, Course Enrollment and Course Close
  5. Language Training – Course Attendance and Course Exit

 

 

Client Information

 

 

 

  • Service Date: Choose the date range for the data you want to report on. You can only create an iCARE bulk upload file for 31 days max.
  • Form Created: You can now create iCARE Bulk Upload files using the Service Form creation date as a filter.
    • You would really only do this to capture any Forms that were created AFTER you have already uploaded the Bulk Upload file to iCARE. In essence, this “Form Created” filter lets you capture any last-minute Services entered after your deadline, but that took place during your reporting month.
  • Site: You have to choose a location. To select all locations choose the "root" option
    • You can filter by a specific sub-location
    • Select Find to find the site code
    • Site Name:  Fills in Automatically once site is chosen
  • Agency Program: If you work for more than one program, select one from the drop-down menu or select 'Not Set' to report on all programs
  • Save as: Make sure Microsoft Excel is chosen
  • Include UID: Creating an iCARE Bulk Upload file involves decrypting the Unique ID (“UID”) of the client (i.e. FOSS#). You can create this file without the UID being included if you are just checking progress. All the error log notifications will still work and if a UID is missing you will get that information. When you are ready to upload you would include the UID.
  • Click Generate Data

Employment

  • Date to Use: Choose the Service End Date or the Service Date you want to report on.
    • Service Date will allow you to include the service based on the Session Date, service may not completed but started.
    • Service End Date includes all completed services.

Please note: Whatever the option you use above, you should make sure to use this way always or your services will be duplicated in iCARE. We recommend this to be used by all agencies at the beginning of the new fiscal year. Always use either Service date or Service End Date, but not both for bulk uploads.

  • Year/Month:  A month and year must be selected from the drop-down menu.
  • Enrollment Month: Choose from two options – Clients Enrolled in Month(s) PRIOR to reporting month or Clients Enrolled DURING reporting month
  • Site: You have to choose a location. To select all locations choose the "root" option
    • You can filter by a specific sub-location
    • Select Find to find the site code
    • Site Name:  Fills in Automatically once site is chosen
  • Agency Program: If you work for more than one program, select one from the drop-down menu or select 'Not Set' to report on all programs
  • Save as: Make sure Microsoft Excel is chosen
