Find a Session
Learn how to find past Session forms so you can review, edit, delete or finish an incomplete Session.
The Session Search page allows you to search for existing Session forms for clients registered with your agency.
Session forms hold the information about the when/where/who of the services you provide. Think of them as the folder holding the logistics and details of your activities.
This section will walk you through the session search line-by-line. You can search by one option below or many.
Session #- This is the session number created when you first opened the session. (Most people do not save this number)
Client # - Click find to find your client – Type in your client’s name or any information to help find your client. Once you find your client check the box beside your clients name and click select. The client number will now appear on your screen.
Family Code – Click find to find the Family Code – Type in your client’s name or any information to help find the family Code. (You will only find your client here if they are attached to a family code) Once you find your client check the box beside your clients name and click select Family. The Family Code will now appear on your screen
Site – Click find to find the site –
- If you work from ONE Location - Type in the site that you work from,(you do not need to type the entire word) click filter this will shorten your list. Click on the correct location and click select site.
- If you work from More than One Location - Type in the site that you saw the client, or if you are not sure of the location click on Settlement Program Locations -ROOT click select site.
Session Type – If you know the session type click on the drop-down and choose the correct session type.
Anonymous – This is if you are searching for an anonymous group activity if left not-set it will look for all activities. If you use the drop-down and choose anonymous you will see only anonymous group activities.
Form Type – Use the drop-down to choose the form type (for example if you only want to see refugee forms you would choose refugee form).
Client Type – Use the drop-down to choose Named, Anonymous or Group activity
Service Funded By – Click Select a Funder – Type in the funder you are looking for (you do not need to type the entire word) click filter this will shorten your list. Click on the correct funder and click select.
Name – Type your Group Activity Course Name or your Client Name (first and last) directly in this field. Be sure to spell it correctly or you will not receive any results.
Course Code – Type in your course code
Agency Program – Choose the agency program you work from or the one you are looking for from the drop-down. If you leave this not-set you will see all sessions from all agency programs.
Staff Involved – If you have chosen an agency program from the list above, you will see a list of only the staff that work for this program. You can veiw sessions from all staff by leaving as not-set or by one individual staff member.
Updated By – If you know another person updated your session you can choose him/her from the drop-down
Service date – Enter the service date start and end date by using the drop-down. If you do not know the end date it will default to today
Created Date – Enter the created date start and end date by using the drop-down. If you do not know the end date it will default to today
Last Update – Enter the update date start and end date by using the drop-down, this is that last time you updated the session. If you do not know the end date it will default to today
Search – click to start our search
Clear – Clear all fields to start new Search
Expand all Rows – If this button is checked it will open + signs and show all session forms and clients.
Export – this will export the search to Microsoft excel format.
Add / Remove Columns – by clicking this you can add new columns such as delivery method, site, staff involved and updated by. Just by dragging the field up to the blue column header you can also remove a column by dragging it down to the fields’ box.
Some Session forms may be highlighted in pink. These Session forms are incomplete and need additional information before they will be included in any reports.
Identify the Session to be worked with and then click Select to review or update it.
