Manage Agency Programs - adding programs

Learn how to create and add staff to Agency Programs.

NOTE: an agency program only needs to be created once, then all staff member will be added to this program

Every staff member has to be attached to at least one Agency Program.  Therefore, you will need to create at least one Agency Program. It can cover your whole Agency or be specific to a team, location, funding stream, etc. The concept is flexible but the end result is the same -any staff not assigned to the Agency Program will not be able to see Service Forms created by that Agency Program staff

Start Here

Click on the Manage Agency Programs link in the My Tasks menu located in the sidebar.

You have to have the right permissions to see this link.

Instructions and Definitions

Assigning programs to staff members, allows them to categorize the services they provide and to define roles and access to group activities and client profiles.

Only staff with the right permissions are able to add/edit Agency Programs or add/edit the staff that belong to the Agency Program.

Form Overview

Once you open your Maintain Agency Programs page you can create a New Item or Edit an existing one.

Every staff member has to be attached to at least one Agency Program.  Therefore, you will need to create at least one Agency Program. It can cover your whole Agency or be specific to a team, location, funding stream, etc. The concept is flexible but the end result is the same -any staff not assigned to the Agency Program will not be able to see Service Forms created by that Agency Program staff.

Admin Fields

  • Agency Program Name: This is a mandatory green field.  Please enter a program name.
  • Address: Enter the Program address.
  • City: Enter the city.
  • Province: Enter the province.
  • Country: Enter the country.
  • Postal Code: Enter the postal code (with no spaces).
  • Telephone Number: Enter the Partner’s phone number. 
  • Fax: Enter the Partner’s fax number. 
  • Contact Name: Enter the name of the primary contact for this location.
  • Contact Email:  Type the email address of the Partner.
  • Functional Area: To get Job Development module to show - a “Manager” or “Agency Coordinator” has to add a Program (or Programs) to the “Job Development” Functional Area. To get Finance module to show - a “Manager” or “Agency Coordinator” has to add a Program (or Programs) to the “Finance” Functional Area.

  • Active: Leave this box checked – this is only to be unchecked if this is no longer an active agency Program.  

The only field required to save the Program is the Agency Program Name field that is highlighted in green.  All other fields are optional.

Edit an Agency Program

Press "Edit" to change existing information about each program.

List of Programs

After your Agency Program information is entered you will need to assign workers to the Agency Program.

 

Deactivate an Agency Program

There is currently no way to fully "delete" an Agency Program. This was done to make sure no Service Forms attached to that Program were left abandoned. 

Press "Edit" to deactivate an Agency Program.

Active: Leave this box unchecked if this is no longer an active agency Program.  

Press the "Save Current Program" button at the bottom of the page to save your edits.

Next Steps

  • To add a new Program, enter a new name in the green field 'Agency Program Information'.
