Language Training Open Form


Learn how to create a Language Training Session that includes attendance and course exit forms.


About this form

The Language Training Open Form is attached to each Language Training Group Activity.  It captures details about the language course including the teacher name, enrollment and class details and course location. This is also where you record the CLB levels provided in the course.

How to Open a Language Training Open form

Select a Language Training Group Activity. To review how to select a Language Training Group Activity Name, click on Language Training Session Overview.

  1. Click Edit beside the Training Open form to open it.
  2. Fill in all Green fields to save the form.
  3. Click Save & Close when all Green fields are filled in.

Course Details 

Please note: All fields are mandatory in the Course Details section.

  • Agency Program - Select the Agency Program you are working with, from the drop-down menu.
  • Teacher Name - Select the name of the Teacher working with the Course from the drop-down menu.
  • Course Held On An Ongoing Basis - Choose Yes or No.
    • If Yes is selected, an additional question will appear 'Weeks of Instruction Per Year'. From the drop-down menu, select the total number of weeks of instruction per year for the course.
  • Format of Training Provided - Choose the type of format used for the training course from the drop-down menu.
  • Dominant Focus of the Course - Select the main focus of the Course from the drop-down menu.
  • Materials Used in Course - Were any materials used in the Course?  Choose Yes or No.
    • If Yes is selected 2 additional questions will appear:
      • Citizenship preparation -  Choose Yes or No.
      • PBLA language companion - Choose Yes or No. PBLA - Portfolio Based Language Assesment.
  • Support Services Available for Client in this Course - Choose Yes or No.
    • If Yes is selected 3 additional questions will appear:
      • Care for Newcomer Children - Choose Yes or No.
      • Transportation - Choose Yes or No.
      • Provisions for Disabilities - Choose Yes or No.

Enrollment Details

Please note: All fields are mandatory in the Enrollment Details section.

  • Total Number of Spots in Course  - Enter the number of available spots in the course
  • Number of CIC-Funded Spots in Course - Enter the number of available spots in the course that are funded by CIC
  • New Students Can Enrol in the Course - Select the time when Clients can enrol in the Course

Class Details

  • Morning - Does the Course occur in the mornings? Choose Yes or No.
  • Afternoon -  Does the Course occur in the afternoons? Choose Yes or No.
  • Evening - Does the Course occur in the evenings? Choose Yes or No.
  • Weekend - Does the Course occur on the weekend? Choose Yes or No.
  • Anytime - Can the Course occur at anytime? Choose Yes or No.
  • Online -Is the Course available online? Choose Yes or No.
  • Instructional Hours Per Class- Enter the amount of hours of instruction provided in each class.
  • Classes Per Week - Enter the number of classes held per week.
  • Weeks of Instruction - Enter the number of weeks of instruction in the Course.
  • Weeks of Instruction Per Year -  Enter the number of weeks of instruction per year.

Course Location

Please note: All fields in the Course Location section are mandatory with the exception of Direction and Unit/Suite.

  • Street Number -Enter the number.
  • Street Name -Enter the name..
  • Street Type -Select the street type from the drop-down menu.
  • Street Direction - Select the direction from the drop-down menu if applicable.
  • Unit/Suite - Enter the Unit/Suite number if applicable.
  • City -Select the city by clicking on the 'Find' button.
  • Province -Select the province from the drop-down menu.
  • Postal Code -Enter the postal code.
  • Telephone Number -Enter the phone number including the area code.
  • Email Address -Enter the email address.

Specific Target Group(s)

If the Language Training Group Activity is directed at a specific target group, it can be selected.  Click on Edit and change the answer from Not Set to Yes in the drop-down menu beside the Target Group that applies. 

More than one target group can be selected if applicable.

CLB Levels

CLB or Canadian Language Benchmark Levels for the course can be added in this section.  

  1. Click on the [+] to add a Skill Group and Skill Level.  
  2. Click on the drop-down arrow in the Skill Group column to select the skill.
  3. After a Skill Group is selected, click on the drop-down arrow in the Skill Level column to select the corresponding level. Additional levels can be added by clicking on the [+] and adding more Skill Groups and corresponding Levels.  (If there is a Skill Group with multiple levels, the Skill Group should be added for each Level, i.e. Speaking Level 1, Speaking Level 2).
  4. Comments can be entered in the Comments column or Comments section below.

Supporting Documents

Supporting documents can be attached to this form.  Click on Attaching Supporting Documents to a Form.

Save the Form:

Once the Training Open form is complete, click Save & Close to go back to the Edit a Client Session page.
