Reports Available to All Staff

Learn about the reports available to all staff.

Start Here

Click on the My Reports link in the Reporting section of the sidebar to access all reports available to staff. 

Types of Reports

Staff can run reports based on Direct Services, Information & Orientation and Community Connections Group ActivitiesLanguage Training, All Service Totals, All Client Totals, New/Returning Clients and Tasks and Referrals.

Please note: All reports are generated using completed service forms only.

Overview Reports

All Services Totals Based on Service Forms

This report provides information on three services: Information and Orientation, Needs Assessment and Employment. It also breaks down unique individuals and clients with family codes. It is based on the Service Forms that were completed within the time period selected. To review this report, click on All Services Totals Report.

All Client Totals Based on Client Profile

This report provides information on Clients based on Client Profiles created within the time period selected. It includes information on clients that have a family code, are new or returning. Each item in the Client Profile is displayed in the report.  To review this report, click on All Client Totals Report.

All Client Totals Based on Client Profile (Training based on Enrollment)

This report incorporates the Enrollment dates of Language Training clients. The default report (All Client Totals Based on Client Profile Report) looks at Session Date and many Language courses have Session Dates that span many months so those Language clients weren't included.

Note: the New and Returning totals for that report are still based on the Session Date. If you don’t do Language Training stats through OCMS you should continue to use the regular “All Client Totals” report.  To review this report, click on All Client Totals Based on Client Profile (Training based on Enrollment).

All Services Totals By Staff Involved

This report breaks down client visits in a number of ways using “Staff Involved” as the main parameter. It is based on the Service Forms that were completed within the time period selected. To review this report, click on All Services Totals By Staff Involved Report.

Direct Services Reports

All Direct Services

This report includes all one-to-one Services.  It does NOT include Group Activities. Clients may appear more than once in this report if more than one Service was provided to them in the time period selected. To review this report, click on All Direct Services Report.

Needs Assessment Service Form Overview

This report provides information on one service: Needs Assessment Service. It also breaks down settlement questions, language assessment questions, employment, community support, personal needs, custom agency questions, support services received etc. It is based on the Needs Assessment Service Forms that were completed within the time period selected. To review this report, click on Needs Assessment Service Form Overview.

Information & Orientation Service Form Overview

This report provides information on one service: Information and Orientation Direct Service. It also breaks down topics covered, skills and aptitudes, life skills and responsibilities, referred by, custom agency questions, support services received etc. It is based on the IO Direct Service Forms that were completed within the time period selected. To review this report, click on Information & Orientation Service Form Overview.

Employment Service Form Overview

This report provides information on one service: Employment Direct Service. It also breaks down referrals, short term interventions, long term interventions, current employment status, educational status, intended occupations, computer skills, past employment programs, skills and aptitudes, referred by, custom agency questions, support services received etc. It is based on the Employment Direct Service Forms that were completed within the time period selected. To review this report, click on Employment Service Form Overview.

Tasks & Referrals

This report displays a summary of the tasks and referrals for your clients. To Review this report Click on Tasks and Referrals Report.

Group Activities Reports

Group Activities 

This report is used for the both types of Named Client Group Activities: Information & Orientation and Community Connections.  In this report you can include both types of Group Activities or run them individually. To review this report, click on Group Activities Report.

All Group Activity Attendees

This report is used for ALL Group Activities: Information & Orientation, Community Connections and Language Training.  You can filter by type of Group Activity or include all of them in your report.  The default format for this report is Microsoft Excel, NOT Adobe pdf. To review this report, click on All Group Activity Attendees.

Anonymous Group Activites

This report is used for Anonymous Group Activity Workshops only.  It does NOT include Named Clients. This report displays the number of clients that attended workshops during the time period selected. To review this report, click on Anonymous Group Report.

Miscellaneous

Client Registrations by Worker

This report displays a summary of the client registrations including breakdown by staff. All Named Client registrations (Client Profiles) are counted even if a Service was not provided. Registration has to be Active. Only "Named" profiles are included. To review this report, click on Client Registrations by Worker.  

New/Returning Clients

This report displays the name, Client Number and status of Named Clients.  It displays the clients who are counted as New or Returning for the specified time period.  Each client is counted once based on the Services that were provided with the time period selected.  To review this report, click on New/Returning Clients Report.  

Client Contact List

This report displays a Client list based on a number of filters including the Agency Programs the clients attended (which is more flexible than what you have available in the Find a Client page).  To review this report, click on Client Contact List

Settlement Plans / Tasks and Referrals

This report displays a summary of the settlement plans, tasks and referrals. Please note: This report shows how each staff marking their Settlement/Action Plans. "Total Plans Created" column includes all plans regardless of whether or not a "Managed By" option was selected by staff. Funders and programs are related to the Service Form that was used to create the Plan.To review this report, click on Settlement Plans / Tasks and Referrals Report

By Location

This report displays a summary of the services by location. To review this report, click on By Location Report.  

Support Services

This report displays a quick overview of the main Support Services fields (transportation, interpretation, etc). The counts represent a "Yes" from the service form for that question. Totals include Named/Anonymous Clients in both Direct Service and Group Sessions. To Review this report, click on Support Services Report.

Missing Client Data Report

This report will help you identify clients with missing key data. This will help keep client information collection standardized and make other reports more fulsome. To review this report, click on Missing Client Data Report.

Client Emergency Contacts

This report will help you identify client emergency contacts. To review this report, click on Client Emergency Contacts.

Visits Reports

This report provides information on New and Returning Clients based on Sessions/Visits to the Agency and Program.  If Clients had multiple Sessions during the selected date range, they will be counted multiple times. This report counts Clients or Attendees. It does not matter how many Services were delivered during these Sessions. All Session types are counted in this report, with the exception of the Anonymous I/O and Anonymous C/C Group Sessions. To review this report, click on Visits Report.

This report displays a summary of the information for one-to-one Financial Services

Finance Services Report

This report displays the services provided for one-to-one Financial Service

Finance Outcomes Report

This report displays all outcomes provided for one-to-one Financial Service
